1. Data we collect

1.1. Account information

When you sign in with Firebase Authentication (Sign in with Google, Sign in with Apple, or passwordless sign-in via a link sent to your email), we receive: your email address, display name, user ID (Firebase UID), and avatar (if any) — for passwordless email sign-in, we only receive your email address. If you use Apple’s “Hide My Email” feature, we only receive an anonymous relay email address provided by Apple.

1.2. Financial data you enter

This includes spending transactions, income, categories, budgets, savings goals, salary date, monthly income, and any notes you enter manually into the app.

1.3. Receipt images

When you photograph a receipt, the image is sent to an AI provider (Google Gemini, Anthropic Claude, or OpenAI) to extract information. Images are not stored permanently on our systems — only the extracted information (amount, category, date) is retained.

1.4. Technical data

We keep basic operational logs (timestamp, status code, errors). The app also collects diagnostic data (crash reports, performance, error logs) and sends it to Sentry to improve stability — identifying information (email, account ID) is one-way hashed before being sent, and this data is not linked to your identity. We do not use tracking cookies, ad pixels, or third-party tracking/advertising tools.

2. How we use your data

• Providing core features: expense logging, categorization, reports, analytics.
• Generating personalized AI insights based on your spending habits.
• Sending spending reminders and budget alerts via FCM.
• Improving AI parser accuracy through your confirmation feedback.
• Processing Premium purchases via the Apple App Store or Google Play.

We do not sell, rent, or share your personal data for third-party advertising or marketing purposes.

3. Third parties that process your data

To operate the service, your data is processed by the following providers:

• Google Firebase — account authentication (Sign in with Google and Apple), push notifications (FCM).
• Apple — identity verification when you use Sign in with Apple.
• MongoDB Atlas — database storage (encrypted at rest).
• Google Cloud Run — application server (region asia-southeast1).
• Google Gemini, Anthropic Claude, OpenAI — AI processing for receipt parsing and insight generation. We do not send your email, account ID, or other identifying information along with this; however, the receipt photos you take may contain personal information, so please consider this before uploading.
• Sentry — collects diagnostic data (crash reports, performance, error logs) to improve app stability. Identifying information (email, account ID) is one-way hashed before being sent, and this data is not used for advertising or tracking purposes.
• Apple App Store / Google Play — processes Premium payments.

4. Data security

• All connections use HTTPS (TLS 1.2+).
• Firebase authentication tokens are verified on every request.
• API keys and secrets are stored in Google Secret Manager, never hardcoded.
• Receipt images are never stored on server disk — they only exist in RAM for the few seconds it takes to process them.
• MongoDB data is encrypted at rest.

5. Your rights

You have the right to:

• Access and export all of your personal data.
• Edit or delete any transaction, budget, or insight.
• Delete your entire account and associated data.
• Withdraw consent to data processing at any time (equivalent to deleting your account).

To exercise these rights, please contact us via the email below. Requests are processed within 30 days.

6. Data retention and deletion

6.1. How to request account deletion

You can request deletion of your AIFily account in one of two ways:

• In the app: Open AIFily → go to the Settings tab → scroll to the Data section → select Delete account → confirm.
• Without opening the app: Send an email to contact@aifily.com from the email address linked to your account, with the subject “Account deletion request”. We will process it within 30 days.

6.2. What is deleted, what is retained

Your data is retained for as long as your account remains active. When you request account deletion, your account is deactivated immediately and enters a 30-day grace period. During this time, your data is retained and you can reactivate your account at any time by logging back in — the app will show the number of days remaining before deletion.

After the 30-day period ends, all personal data (transactions, budgets, insights, profile, email, display name) is permanently deleted from our database, except for anonymized technical log records required for legal or accounting purposes.

7. Children

AIFily is not directed at users under 13 years old. We do not knowingly collect data from children. If you are a parent and discover that your child has provided data, please contact us so we can delete it immediately.

8. Changes to this policy

We may update this policy from time to time. Significant changes will be announced through the app or by email. Continuing to use AIFily after an update means you accept the new policy.

1. Acceptance of terms

By creating an account or using AIFily, you confirm that you have read, understood, and agree to these Terms and the Privacy Policy. If you do not agree, please do not use the Service.

2. Description of service

AIFily is an AI-powered personal finance app that helps you log expenses, categorize transactions, analyze habits, and get improvement suggestions. The Service includes:

• Logging transactions via text, voice, or receipt photo.
• Automatic categorization and visual reports.
• Personalized AI-generated insights (Gemini, Claude, GPT).
• Budget and savings goal management.
• Premium plan via In-App Purchase (Apple App Store / Google Play).

3. User accounts

3.1. Registration

You can sign in with a Google account, Sign in with Apple, or passwordless sign-in via a link sent to your email, through Firebase Authentication. If you use the same email address across multiple methods, they will be linked to the same AIFily account. You are responsible for protecting your login credentials and for all activity that occurs on your account.

3.2. Age requirement

You must be at least 13 years old to use AIFily. If you are under 18, you need consent from a parent or legal guardian.

3.3. Accurate information

You agree to provide accurate and up-to-date information. We reserve the right to suspend or delete an account if we discover fraudulent information.

4. Free and Premium plans

4.1. Free plan

You may use AIFily for free, subject to limits on: transactions per month, receipt scans, AI-generated insights, and history lookback period. Specific limits are shown in the app.

4.2. Premium plan

Premium is purchased via In-App Purchase on the Apple App Store or Google Play at the price shown at the time of payment. Fees are charged through your app store account (App Store / Google Play) and automatically renew on a cycle (monthly/yearly) until you cancel.

4.3. Cancellation and refunds

You can cancel your renewal at any time in your App Store or Google Play account settings. Cancellation takes effect at the next billing cycle — you retain Premium access until the end of the current period. Refund requests are handled according to the policies of Apple or Google Play, not by AIFily.

5. Acceptable use

You may NOT:

• Use the Service for unlawful purposes or in violation of Vietnamese law.
• Intentionally interfere with, attack, reverse-engineer, or exploit vulnerabilities in the system.
• Use bots or automated scripts to spam or defraud quota limits.
• Copy, redistribute, or sell data or content from the Service.
• Upload malicious, unlawful content, or content that infringes on third-party rights.
• Impersonate another person or create multiple accounts to bypass quota limits.

Violations may result in account suspension or permanent deletion without a refund.

6. User-generated content

Any transaction, note, or budget you enter into the app remains your property. AIFily only processes this data to provide the Service as described in the Privacy Policy. We do not share your personal data with third parties for advertising purposes.

7. Intellectual property

The AIFily brand name, logo, interface, source code, and all original content belong to us. You may not copy, modify, or use them for commercial purposes without our written permission.

8. Role of AI and financial advice disclaimer

AIFily uses AI models (Google Gemini, Anthropic Claude, OpenAI GPT) to analyze spending and provide suggestions. AI-generated insights and advice are for reference only, and do not constitute professional financial, investment, tax, or legal advice.

Your financial decisions are your own. AIFily is not liable for any financial loss arising from acting on the app’s suggestions. Please consult a financial professional when needed.

9. Limitation of liability

The Service is provided “as-is.” To the extent permitted by law, AIFily is not liable for:

• Data loss due to technical errors, service interruptions, or third-party incidents.
• Errors in AI receipt parsing or transaction categorization.
• Indirect losses, lost profits, or consequential damages arising from use of the Service.
• Damages resulting from your failure to secure your own account.

We make every effort to maintain the accuracy and availability of the Service, but do not guarantee it will always be error-free or uninterrupted.

10. Changes and termination of service

We reserve the right to change, suspend, or terminate part or all of the Service at any time, with or without prior notice. In the event of permanent termination, we will provide reasonable advance notice and allow you to export your data.

You may stop using the Service and delete your account at any time in the app settings or by contacting us.

11. Changes to these terms

We may update these Terms from time to time. Significant changes will be announced through the app or by email. Continuing to use AIFily after an update means you accept the new Terms.

12. Governing law

These Terms are governed by the laws of Vietnam. Any disputes will first be resolved through negotiation. If no agreement is reached, the matter will be brought before a competent court in Vietnam.
